Thank you for your interest in Rent Responsibly’s RR Summit. We are using the platform, Zoom Events. While it’s a Zoom product, there are several notable differences that we’d like to highlight.
How to Register for the RR Summit
Register with Zoom Account
Click Register with Zoom Account (circled in red above). You will be directed to a sign-in screen (on the right).
You have two options to register for the RR Summit, Register with Zoom Account (use this method when you already have an existing Zoom login/password or are willing to create one) or Register with Email (use this method when you do not have a Zoom account and do not want to create one).
Enter your email address and password. Click Sign In (circled in red to the right).
After signing in, it’s time to enter your registration details (see screenshot below).
Your email address will already be populated. Enter your first and last name, re-type your email address to verify it, and select your role in the STR (short-term rental) industry. Then click Confirm Registration (circled in red above).
You will receive a confirmation message (below).
If you’re ready to join the event right away, you can do so by clicking Join Lobby (circled in red above). If you will be joining at a later time, it also lets you know a ticket has been sent to your email address. When ready to join, please open your email account and locate your ticket. It will be coming from Zoom Events and have the subject line Order Confirmation for RR Summit: People, Places, Planet. The ticket is in the body of your email (see below). Click Join (circled in red below). This will take you to the Event Lobby.
If this is your first time joining the lobby of a Zoom Event, it will prompt you to create your Networking Profile (see screenshot below). This is optional, but a great way to connect with speakers and attendees during the event. Click Create guest profile (circled in red below).
At a minimum, it will prompt you to Change photo (underlined in red below), add your Position and Company (both underlined in red below). After adding those details, the Done button will become clickable. If you’d like to fill out your full Networking Profile, click Got to My Profile (underlined in red below).
You will then be prompted to decide whether you want to allow attendees and speakers to network with you during the event. If you’d like to be available to receive chats, click Feeling Social (circled in red below). If you want your profile visible, but do not want to allow any 1:1 messages, click Simply Exploring (underlined in red below). If you do not want your profile visible at all, you can also click Hide Me (underlined in red below) to prevent it from being seen by other attendees.

Navigating the Lobby and Joining Sessions
Zoom Events has a Lobby where you can access sessions, speaker info, chat and network with other attendees. Let’s start with joining a session.
Joining a Session
From the Lobby, click on either Sessions or Explore Sessions (both circled in red below).
This will bring you to the listing of all sessions (see below).
Scroll to the session that you wish to join. Sessions that are live will be at the top and marked “In Progress.” A session becomes live within 1-2 mins before/after its start time. When it’s live, you will see a clickable Join button (circled in red below). Click Join and it will open a new window into a Zoom Webinar or Meeting, depending on the format of the session. Attend the session as you would any other standard Zoom Webinar/Meeting.
Bookmarking a Session
When you see a session you don’t want to miss, you can click on the bookmark icon (circled in red below).
You will find your bookmarked session in the Itinerary tab at the top of the Lobby (circled in red below).
If you’d like to add it directly to your personal calendar, click Export Itinerary as ICS File (circled in red above) and it will download the file to your phone or computer so that you can import it directly to your Google/Apple calendar, etc.
Exploring Speakers
From the Lobby, click Speakers (circled in red below). This will give you access to every speaker profile presenting during the RR Summit.
Click on the name or photo of any speaker to open their profile. You can find further information about them there (see screenshot below).
Networking with People
If you didn’t set up your networking profile during your first visit to the Lobby, it’s ok. You can do so at any time by clicking on the colored icon with your initials in the top right corner of the Lobby (see circled in red below).
Click on Create Profile (circled in red above).
To visit with others during the event, navigate back to the Lobby and click on People (circled in red below). You can search by name or role, and filter by hosts, speakers, and attendees.
You can view more of their profile by hovering over someone and scrolling up and down. You can applaud/wave to someone by clicking on their profile with the green hand (circled in red below). You can also message them by clicking on the yellow chat bubble (circled in red below). A chat thread will open to the right (see in screenshot below). If you’d like to add them as a connection, click on the blue plus sign (circled in red below).
Using Lobby Chat
You can send public messages to all attendees about the event using the Lobby Chat. You can also message people 1:1 (if their settings allow for that). The default screen will be Lobby Chat. From here you can message the group, and read messages from others. You can reply in a thread and react with emojis (see screenshot below, circled in red).
To send a message, enter the text in the text box labeled Message Lobby Chat (underlined in red below). Click enter on your keyboard to send the message.
You can access other chats by clicking on the back arrow (circled in red above). It will take you to a listing of your 1:1 chat messages (circled in red below). Click Lobby Chat to return to the Lobby Chat. You can also see your Connections and Matches here (if you have set your Networking Profile up to receive those).
Frequently Asked Questions
Can I watch the recording of the event or some sessions later?
We understand if you can’t attend the event or have to miss some sessions. Life happens! RR Summit: People, Places, Planet is a podcast takeover event, so many of the sessions will not be available for immediate replay. Instead, many of these sessions will be aired as podcasts on each respective speaker’s podcast. By simply registering, you will receive an email after the event with a link to our 2023 STR Sustainability Report + Resource Guide – a post-event report that will have instructions on when and how to view each podcasters’ and partners’ sessions, as well as highlights from each session!
Why can’t I access Zoom Events or why are some of the features not working?
You must have the latest version of Zoom downloaded (Windows: 5.8.6 or higher, macOS: 5.8.6 or higher) to use Zoom Events. Zoom requires this version or later or you won’t be able to access the event. Download the latest version HERE.
Do I have to have a Zoom account to access the RR Summit?
No! You can register and access the event with an email. See detailed instructions here.
Why isn’t the Join button active/clickable on a session I’m trying to access?
Sessions are only available to join when they are “live.” It’s a manual process to start a session, and sometimes a speaker needs just another minute or two to get prepared. Sit tight and refresh your screen. You can also check the Lobby Chat for any announcements about delays or technical issues.
I can’t find my ticket! Help!
Search your email for a message from Zoom Events. It will have the subject line Order Confirmation for RR Summit: People, Places, Planet. The ticket is in the body of your email (see below). Click Join. This will take you to the Event Lobby. If you still can’t find your ticket, message events@rentresponsibly.org and we will resend it to you.
I have my ticket and either can’t join the Lobby or joined the Lobby, but much of it is blank with no way to join sessions.
Most likely, the email address that you registered for the event with is a different email than you are signed into Zoom with. Log out of Zoom, and sign into Zoom using the email address you registered for the event with. If this is not possible, re-register for the event here, using the email address associated with your Zoom account. You can also re-register without a Zoom account here using your email address. If you are still having trouble, please reach out to events@rentresponsibly.org for assistance. We can cancel your initial registration and manually register you, if needed.
